Business API

The free WhatsApp Business App works fine when you're handling 20–30 customer chats a day. Once your volume grows, it starts breaking down — juggling multiple phones, conversations falling through the cracks, no way to follow up automatically. The WhatsApp Business API is built for exactly this situation. As an Official Meta partner, we set this up for businesses across Tamil Nadu and manage it ongoing.

01 Bulk Broadcast Campaigns
The standard WhatsApp Business App caps broadcast lists at 256 contacts — and only reaches people who've saved your number. With the API, you can send messages to your entire customer database at once, with no contact-saving requirement. This is how jewellery stores send festival offer messages to 5,000 customers, or how a real estate developer follows up with every enquiry from the past six months in a single send. Open rates are significantly higher than SMS or email.
02 Automated Lead Follow-Up
When a new enquiry comes in — from your website, a Facebook ad, or a missed call — the API sends an automatic WhatsApp reply within seconds. You set the message once; the system handles every new lead after that. For businesses losing leads because they couldn't respond quickly enough, this alone often justifies the setup. A jewellery store getting weekend enquiries when staff aren't available can auto-reply with product details and a callback request.
03 Chatbot Flows
Conversational flows that guide a customer through common questions without staff involvement — "Press 1 for product enquiry, 2 for order status, 3 to speak to someone" — the same logic, but in WhatsApp. These work around the clock. For an education institute handling admissions, a chatbot can collect a prospective student's details, send a brochure, and schedule a callback before a counsellor has even seen the message.
04 Customer Notifications
Order confirmations, payment receipts, appointment reminders, delivery updates, service due alerts — any notification you currently send by SMS or email can go through WhatsApp instead. Customers actually read these. Delivery confirmation rates on WhatsApp are consistently higher than SMS, and customers can reply directly if they have a question — which means fewer calls to your front desk.
05 CRM Integration
The API connects to most CRM platforms and customer databases. Every conversation your team has through WhatsApp gets logged, tracked, and tied to a customer record — so nothing gets lost when staff change or when you're managing high volumes. For businesses already using a CRM, this creates a single view of each customer across channels. For businesses that aren't, we can set up basic contact management through Waamini alongside the API.

The Waamini Platform

✦ Waamini CRM

Waamini is a WhatsApp-first CRM platform that we use and configure for clients who need a straightforward way to manage customer conversations, contacts, and follow-up tasks.

If your team is currently using multiple WhatsApp numbers, a spreadsheet for customer records, and individual phones for follow-up — Waamini brings all of that into one place. Your team sees every conversation in a shared inbox, can assign chats to specific people, and can set reminders and follow-up tasks without switching apps.

It's designed for businesses that don't need a complex enterprise CRM, but have outgrown managing customers in personal WhatsApp. Retail businesses, education institutes, healthcare providers, and real estate teams find it particularly practical.

How Setup Works

The process involves Meta, your phone number, and our configuration work. Total timeline: approximately 3 weeks from start to go-live, depending on how quickly Meta processes verifications.

Step 01 Days 1–3

Meta Business Manager Verification

We help you verify your business on Meta's platform if you haven't already. You'll need your business documents ready. Usually takes 1–3 business days.

Step 02 Days 3–5

Phone Number Registration

We register a dedicated business phone number with the WhatsApp API. This number cannot be an existing personal or WhatsApp account number — it needs to be clean.

Step 03 Days 5–10

Meta Number Verification

Meta reviews and approves the number. This step is outside our control timeline-wise, but typically takes 3–7 business days. We track it and follow up on your behalf.

Step 04 Days 10–14

Template Creation & Approval

All outbound messages need pre-approved templates from Meta. We write these based on your use cases and submit them. Approval usually comes within 24–48 hours per template.

Step 05 Days 14–21

Integration & Go-Live

We connect the API to your CRM, website, or lead sources, set up your chatbot flows, and run live tests before handover. We also train your team on the dashboard.

What You Need

Before we can set anything up, you'll need these four things in place.

Dedicated Phone Number

Not linked to any existing WhatsApp account. A new SIM or a landline with OTP capability works. We'll tell you exactly what to get if you're unsure.

Meta Business Manager

If you run Facebook or Instagram ads, you likely have one already. If not, we'll create it as part of the setup process — this is straightforward.

Business Registration Documents

GST certificate, trade licence, or incorporation documents. Meta requires proof of a legitimate registered business — this is non-negotiable.

A Clear Use Case

Know roughly what you want to send, to whom, and how often. The clearer this is upfront, the faster the template approvals and the better the setup outcome.

Who This Works Best For

WhatsApp API is not the right tool for every business. It makes most sense if you have at least one of these situations.

You get 50+ customer enquiries per week and can't respond to all of them fast enough

You're following up on leads manually and losing track of who's been contacted

You run appointment-based services and want automated reminders to reduce no-shows

You manage a large customer database (500+ contacts) and want to send targeted broadcast messages

You have multiple staff members handling WhatsApp from different phones with no shared record

Industries

Jewellery Retail

Festival offer broadcasts, automated enquiry replies, order confirmation flows. High customer database volume — broadcast campaigns deliver strong returns during Diwali, Pongal, and wedding seasons.

Real Estate

Automated responses to Facebook lead ads, chatbot flows for project enquiries, follow-up sequences for cold leads. Long decision cycles make systematic follow-up critical.

Education Institutes

Admissions chatbots, brochure delivery, counsellor callback scheduling, and batch broadcast reminders. Handles high-volume enquiry periods without scaling staff.

Healthcare & Diagnostics

Appointment reminders, report delivery notifications, follow-up messages. Reduces no-shows and front desk call volume — patients respond to WhatsApp faster than SMS.

Furniture & Home Decor

Showroom visit confirmations, delivery updates, post-purchase follow-up. Customers who've enquired but not visited benefit from automated nudges with product images.

Textiles & Garments

Catalogue broadcasts to wholesale buyers, new stock alerts, order status updates. B2B and B2C both — the API handles volume that personal WhatsApp can't.

How the API Actually Works

WhatsApp API Is Not a Cold Messaging Tool
You cannot use the API to send promotional messages to people who have never interacted with your business. Doing so violates Meta's policy and will get your number banned permanently. All outbound messages must go to contacts who have opted in or previously engaged with you. A purchased leads list doesn't work here. Neither does scraping numbers from directories. If what you're looking for is a way to reach people who don't know your business yet, Meta and Google Ads are the right starting point — and we run those too. See our Digital Marketing service →
The API Works Alongside Acquisition, Not Instead of It
The API is a powerful tool for the customers you already have. For new customer acquisition, it needs to work alongside a broader marketing strategy. Businesses that get the most value from the API are those already generating leads through ads or walk-ins — the API then handles follow-up, conversion, and retention automatically.
